In the implementation of product projects, efficient collaboration between entities responsible for various stages of the production process is crucial. A Qalcwise client faced this type of collaboration model when implementing projects requiring the ongoing exchange of data and decisions between two collaborating organizations.

The projects encompassed a range of interconnected activities—from product development, through quality and operational issues, to production—requiring precise coordination of work conducted simultaneously on both sides. With the growing number of initiatives, information consistency and seamless communication between teams operating within separate organizational structures were crucial.

In such an environment, tools supporting project management in a structured manner, enabling ongoing process adjustments and providing access to current data at every stage of implementation have become particularly important.

This number of projects was no longer operationally manageable with existing solutions. Excel, which initially allowed us to efficiently manage our work, eventually became insufficient.

  • Limitations of Excel and local tools: Excel was the main operational tool, but as the scale of projects grew, keeping data up-to-date and consistent became increasingly difficult.
  • Dispersion of information between organizations and departments: Collaborating entities used their own solutions and structures, which required manual data standardization and hindered effective collaboration.
  • Increase in the number of projects and process complexity: The exponential growth of initiatives – from simple tasks to complex implementation projects – required a tool capable of handling multiple stages and participants simultaneously.

All these factors showed that further development required the implementation of a central, flexible tool to manage the growing number of projects, data and processes implemented between cooperating organizations.

Why did the company decide to looking for a new solution?

The changes began in the production area, where, with the rapid growth in the number of graphic designs and data, existing tools such as Excel, Trello, and local databases began to limit work efficiency. Changing customer requirements, varying process standards, and the need for frequent updates made maintaining consistent and up-to-date information increasingly time-consuming.

The company needed a solution that would allow for faster response to changes, easy process modifications, and ensure data centralization without costly and lengthy development. This prompted the team to seek a platform that would enable rapid implementation, operational flexibility, and further development without the need for coding. Production company

  • Expansion of production preparation processes: In subsequent steps, the system was expanded to include support for printing matrices, printing inks, and material availability. All information related to graphics and production preparation was integrated into a single tool.
  • Transferring data to other departments: Applications began to power other areas of the organization—customer service, planning, production, and production accounting processes. Qalcwise became the central source of information for each implementation.

Food company

  • Implementation project system: A system was created to support the implementation of projects, adapted to the specific nature of a food production company and based, among other things, on data related to the availability of components used in the production process.
  • Integration with production company data: Implementation processes utilized data from the manufacturing company's systems. New project submissions were handled directly within the application, eliminating the need for manual communication between teams.
  • Pricing system: A comprehensive product pricing system was created, reducing quote preparation time from 2–3 weeks to as little as a single day. Integration with production data and validation mechanisms allowed the system to automatically verify compliance with key parameters.
  • Automation of demand creation: Production requirements were generated based on quotes. Previously, the process relied on Excel files and manual data entry, which generated errors and delays.
  • Complaints and returns handling system: The food company also handled consumer complaints and logistics returns. Qalcwise streamlined their registration, analysis, and communication between the involved departments.

Expanding the solution to include additional areas

  • Finished product and integration with SAP: Data collected in Qalcwise began to be used in the process of preparing finished products and fed into the ERP system, which eliminated the need to duplicate information in different tools.
  • CRM built on existing data: Since the system already contained data on projects, products, and cooperation history, supplementing it with information about customers and leads enabled the creation of a practical, coherent CRM.
  • Tools supporting operational work: Additional modules organized operational communication and automatically linked notes, findings, and decisions to appropriate products, projects, and processes.

Crucially, most solutions are developed independently by the client's teams, enabling rapid response and ongoing process adaptation to business needs.
