What challenges did Qalcwise face?
Exeltis Poland approached Qalcwise with the goal of implementing a solution that would centrally manage sponsorship agreements in a secure, efficient, and fully digital environment. The company was looking for a system that could consolidate all related business processes into a single platform while streamlining document management and approval workflows. The implementation was delivered by the eNovem team using the Qalcwise No-Code Platform. The objective was to develop dedicated Business Applications that would reduce manual work, minimize email communication, accelerate day-to-day operations, eliminate errors, and replace paper-based processes. One of the key challenges was removing paper forms from the sponsorship agreement process. Previously, documents circulated between regional representatives and headquarters, resulting in lengthy approval cycles and extended processing times. Another important objective was to improve management reporting by creating a single source of truth for sponsorship agreements. Employees, managers, and executives needed access to the same information in one centralized system instead of multiple disconnected applications. This approach not only reduced the number of tools used across the organization but also gave management faster access to reliable data for decision-making. The new solution also simplified communication between headquarters and field teams while providing the flexibility to adapt the application to Exeltis Poland’s specific business requirements.
What solution did we deliver?
The Qalcwise No-Code Platform proved to be the ideal solution for Exeltis Poland’s business requirements. Together with our implementation partner, eNovem, we developed a suite of integrated Business Applications within a single platform to support key processes, including conference participation planning and tracking, management of partner organization records, sponsorship agreement generation, approval of agreement terms, and remote document signing. The new solution streamlined every stage of the sponsorship agreement lifecycle—from document creation and approval to signing and settlement. Sales and marketing representatives could negotiate terms, generate agreements, and collect signatures during a single customer meeting, significantly reducing processing time. All information entered into the system is automatically archived and can be reused in related processes, such as marketing event settlements, eliminating duplicate data entry and improving data consistency. Managers receive electronic approval requests directly within the application, allowing them to review and approve documents quickly. At the same time, management gains real-time visibility into the status of business processes and access to up-to-date reports, supporting faster and more informed decision-making. The entire solution is fully accessible from mobile devices, enabling users to manage processes wherever they are. Implemented at the beginning of the pandemic, the platform also helped Exeltis Poland transition smoothly to remote work and adapt to new digital ways of operating.
