What challenges standing in front of Qalcwise?
PSE Innowacje asked Qalcwise to create a convenient HR and administrative platform - for employee service in several locations. The professional solution was intended to transfer all business processes to one, coherent system. The company also emphasized the need for easy and quick operation of the program.
The team took care of the order eNovem, who created dedicated applications on the Qalcwise platform. The task was not an easy one. So far, PSE Innowacje has struggled with various administrative and HR processes (e.g. management of leaves and business trips). There was chaos - the company had three locations, each with a different IT system. Document workflow was difficult - paper forms circulated between several offices, which took up valuable time. HR employees also complained about a faulty leave management system - the program did not meet expectations and provided very limited reporting.
When creating the HR and administration platform, the eNovem team focused on several functionalities. The priority was to introduce Electronic Document Circulation, whose important goals are elimination of paper forms, limiting manual operation of the system, reducing the number of e-mails sent. The new application was supposed to be transparent. Specialists drew attention to the need to eliminate mistakes (as much as possible), speed up and facilitate everyday work, and simplify communication between departments (and also headquarters). The Qalcwise platform allowed for full customization of the solution.
What solution we found?

The eNovem team did a titanic job – the program was ready in just two months. The HR and administration platform consisted of a number of integrated applications supporting processes such as recruitment and onboarding, leave management, scheduling and working time records.
Both employees and management have gained a lot from the new system. The program enabled the integration of various processes in one coherent environment. Employees received an intuitive and efficient work tool. Let's take logging in as an example: using SSO, employees saw a board from which they could manage their tasks or documents to which they had permissions. Superiors (managerial staff) gained access to all data in one place. From then on, generating reports on demand was a breeze.
The new system helped PSE Innowacje optimize important HR and administrative processes in the company. All related applications were deployed in the first weeks of the pandemic. The company benefited because it adapted to remote work - there was no stagnation that many other organizations faced. - the waiting time for approval of applications has shortened;
- the number of applications that were correctly completed by employees also increased (errors that often occurred when entering data manually were almost eliminated).
PSE Innowacje could boast better control and transparency of expenses. The training of new employees took less time and their content was at the same (if not better) level. The employees were satisfied with the use of the new application. Their job satisfaction rose surprisingly high. The new system was so intuitive that all employees enjoy using it to this day.
